Parents Handbook

School Hours

School hours run from 9:00am-4:30pm. Please make sure that your child is on time for school everyday as tardiness can be very disruptive to the whole class. Please contact the school if your child will be late arriving or if parents/caretakers will be late picking up your child.

The time between 8:00am-8:30am is and 4:30pm-5:30pm is essential for teacher preparation and safety checks. Breakfast will be served between 8:00am to 9:00am. If, on occasion you need to drop your child off earlier than 8:00am or pick up later than 4:30pm, please arrange this in advance with his/her class teacher. The school is closed according to the school calendar.

Arrival and Departure

Please bring your child to school on time as late arrivals are disruptive to the classroom. If a child does come late, please let him/her enters quietly. Children will not be released to any persons other than person(s) authorised by you. Within a week of your child starting school, we must receive photographs of any person’s permitted to pick up your child from school (including yourselves). If there are any changes to people allowed to pick up your child, you must notify the school immediately, taking away photographs of anyone no longer allowed to pick up and replacing them as necessary.


If a child has a cold or contagious symptoms such as a cough, runny nose, sore throat etc., please do not send him/her to school. If a child has a fever, vomiting or diarrhea, he or she MUST NOT return to school for 24 hours after the symptoms stop. For highly contagious illnesses including but not limited to chicken pox; hand, foot and mouth disease; conjunctivitis etc., the school must receive a letter from the hospital stating that the child is no longer contagious and safe to return to school. If a child is ill at school, parents will be called and asked to pick up the child as soon as possible. In case of medical emergencies, parents will be notified immediately and children will be taken to the nearest medical facilities. Please note that parents will be expected to assume all medical charges. If your child is sick and will not be in school, please call to inform us.

Staff of Buzan Montessori CAN NOT administers any medicines to your child without a completed letter of release from you. If your child needs to take medicine during school hours, we highly recommend that you arrange for a family member or caretaker to come into the school to administer it.


Parents accept that accidents are a natural part of growing up and all children will acquire bumps, scratches, cuts and bruises. As much as the school will do it's best to avoid all accidents, by enrolling your children into the school, the parents agree that sometimes accidents are unavoidable. Upon registration, all parents must provide the school with proof of medical insurance and agree that any medical charges incurred due to accidents or illness at the school will be the sole responsibility of the parents. If parents have not bought any personal accident policy for your children, please do so before your children enter the school.

School Outings

Outings will be arranged periodically throughout the school year. Permission forms will be sent home for each child prior to an outing. This form must be signed by the parent and returned to us before the child may be allowed to join any outing. As our children are very young, we need all of our staff to be present at school outings. No special arrangements will be made for children not wishing to join us on a school outing and he/she will be considered as absent that day. The school may at times require parents to accompany their children at certain outings. Please refer to the notice at each of the outings.

Tuition Fees and Other Payments

All payments must be made directly to Buzan Montessori. Payments for the new term must be received by the school before the last day of the existing term. All parents should also be aware and understand of the school’s payment and re-imbursement policy. If any family is having difficulties with paying tuition fees on time, they must contact the school to discuss. If payments are made later than one month after the first day of school and no contact has been made with the school, the child will not be permitted to attend class.

Holidays, Vacations and Absences

All holidays are in-line with the Chinese Government (includes any ad-hoc holidays that are announced by the Government). Each term consists of 5 months, and parents can opt for the school's summer/winter programme during the term-break. Any time taken off outside of our school holidays for family vacations, business trips or illness is done so at the expense of the parents, i.e. full tuition fees will be required and no refund or credit will be given in such circumstances. Because of the nature of the Montessori environment, it is essential that each child comes to school on a regular basis. Absenteeism can affect the flow of learning and often impede the child’s academic and emotional progress. Please contact the school if your child is unable to attend on any particular day.

Student Withdrawal

Upon completion and submission of the school application form for admission, the parents are expected to have read and agreed to the terms and conditions within including the school’s withdrawal and refunds policy.

Reimbursement Policy

Reimbursement will be granted in the following circumstances.
(c) Unexpected works transfer;
(d) Serious sickness of the child.

When applying for reimbursement, formal written notice from the corresponding authorities, i.e., company director or doctor, and a personal explanation letter must be submitted to the school. Refund requests will be honored if written notice of the withdrawal is received prior to the departure of the child. Failure to notify the school will result in non-refund of the tuition fee.

Refunds will be calculated according to the schedule below:

Date withdrawal notice is received Refund
Did not attend the class. 90% of the tuition fees will be reimbursed.
On or before the last day of the first month of the semester. 80% of the remaining tuition fees paid will be reimbursed.
On or before the last day of the second month of the semester. 50% of the remaining tuition fees paid will be reimbursed.
On or before the last day of the third month of the semester. 25% of the remaining tuition fees paid will be reimbursed.
On or before the last day of the fourth month of the semester. 10% of the remaining tuition fees paid will be reimbursed.
Any date after the last day of the fourth month of the semester. No Refund will be made.

Please note:
(a) Tuition fee does not include extra-curricular activities, lunch, field trips or medical expenses incurred while at school.
(b) Registration fee and any fees paid for extra-curricular activities, summer camp or lunches are non-refundable.
(c) The school reserves the right to use any individual or group photographs, video and/or audio recordings, taken at the school, or elsewhere, documenting students in school activities, for publicity and public relations purposes.
(d) Taxes and any other charges incurred due to the refund will be deducted from the tuition fee paid.

Dis-enrollment Policy

The goal of the Buzan Montessori is to ensure an environment that is conducive to learning. While most children thrive, not all children are successful in our program. Dis-enrollment from Buzan Montessori becomes necessary due to misbehavior, delinquent payments, etc. Before a dis-enrollment decision is made, an administrator will have a counseling session with the parents where all other acceptable avenues will be explored. If, after these actions are taken, the teachers and administration are unable to reach a feasible solution, a letter of dis-enrollment will be given to the parents stating the child's last date of attendance.

Psychological, Developmental and Behavioral Details

The parents agree to impart any knowledge or concerns that they have regarding any psychological, developmental and behavioral difficulties/differences that their child may have. The parents agree to seek outside help for the best interest of their child and his/her peers in cases whereby two or more teachers have expressed concerns for the child’s growth in psychological, developmental or behavioral areas.

Progress Reports.

All children will be issued with progress reports at the end of each semester. Formal Parent-Teacher Conferences are also organised once a semester. If any parents would like to communicate at any other time with their class teacher, they should schedule a mini-conference at the end of the day, either coming in to the school or speaking to the teacher over the telephone. Every week, each child will bring home his/her weekly communication book. Any questions or comments about the child’s progress should be written in this book and returned to school in a timely manner for teacher's to read and answer.


Throughout the school year, many opportunities arise to take photographs or videos recording of the students as they participate in classroom, cultural and sports activities in school. These photographs/videos are frequently used for educational and public relations purposes e.g. in newsletter, school’s website and blog, and promotional brochures. Parents give permission and right to use, publish photographs/videos of their child.

Contact Details

It is essential that the school has up to date files concerning in particular contact details and medical information and the parent agrees to provide any new information in a timely manner. The school uses the communication book and e-mail as its main medium for general communication. You may send us the updated information via e-mail (, letters, SMS, or inform our front office directly, stating your child’s name in the subject area.

School Uniform

The school does not have a strict uniform policy and children may come to school in comfortable clothes. However, all children are required to wear the school uniforms on any outings and special occasions. The uniforms are available to purchase at the school reception. It is normal for children to get dirty and/or wet at school as they explore through play and different mediums, so do not send your child to school in very expensive or special clothes. The school will not responsible for clothes ruined (stained, ripped or other) or lost at school. In addition, to cultivate independent, please put on clothing/shoes that the child can take off easily. Please also note that children should not come to school in character costumes or clothes (for example, Superman).

Birthday Policy

Birthdays are a special time for each and every child here at Buzan Montessori. The celebration is both enjoyable and educational. Each teacher has her own variation and can plan with each parent in advance.


The school has a policy of NO CANDIES, (including but not limited to Chewing Gum, Lollipop and Jelly) or Chocolates (with the exception of birthdays). We would be grateful that you do not bring these to school and do not offer them to other children. Thank you for also letting your caretaker/guardian knows about this policy.


Please keep in mind that we may have children within the school with severe nut and seed allergies. Please DO NOT bring these or foods containing these into the school. This is especially important when choosing birthday cakes for your child.


The school has a policy of NO TOYS as they may interfere with the child’s learning path, may get broken, or may injure your child or other children in the school. If any toys are brought to school, they are not the responsibility of the school. However, new-intake students may bring their favourite soft toy (if necessary) with them.

Jewelry and Accessories

For the safety of the children, accessories that are small or spiky (for example, spiked hair clips, necklace, bracelet etc) and jewelry are not permitted in school. If any accessories/ jewelries are brought to school, they are not the responsibility of the school.

What to Bring

The following is a list of items that your child may need to bring to school on his/her first day. The list is not exhaustive, please speak to your child's class teacher to find out if he/she requires anything else.
1. Mattress, blanket and pillow (bed size – 120cm x 60cm);
2. Water bottle;
3. A pair of indoor shoes;
4. One or two extra set of clothes : tops, pants/trousers/skirts, undergarment, socks;
5. Face towel – 2 pcs;
6. Milk powder (if necessary);
7. His/her favourite soft toy (if necessary)
